The data controller is Associazione AI Calabria, contactable at info@ai.calabria.it.
2. Personal data processed
Depending on the features used, the platform may process:
- registration and profile data, such as first name, surname, email, role, municipality, public name, biography, avatar and visibility settings;
- protected credentials, session data, verification and recovery tokens, IP address, user agent, security events and login attempts;
- linguistic contributions, local variants, examples, sources, audio recordings, validations, reports, chat messages, Team activity, scores, badges and notifications;
- technical browsing data and, only after consent, statistical data collected through Google Analytics 4;
- if provided voluntarily, country and city of residence and Calabrian municipality of origin, used to create aggregate links in the “Calabria around the world” section;
- data needed to respond to requests sent by email or through platform features.
The microphone is used only when the user voluntarily starts recording a pronunciation. The browser requests specific permission before access.
3. Purposes and legal bases
Account and services
Create and manage the account, authenticate the user and enable contributions, validations, chat, notifications and community features.

Collect, verify, publish and preserve linguistic and audio content according to applicable choices, terms and licences.

Legal basis: legal obligations and legitimate interest.4. Nature of data provision
Data marked as mandatory is required to create an account or use the requested feature. Failure to provide it prevents completion of the operation. Optional data, profile-publicity settings, additional consent and Analytics cookies may be refused without preventing access to essential features.
5. Recipients, providers and transfers
Data may be processed by authorised persons within the Association and by providers necessary for operation of the service, such as hosting, email, maintenance and security providers, appointed as processors where required.
When the user gives consent, Google Analytics receives technical and statistical data. Pages containing maps also request map tiles from OpenStreetMap servers, which may receive ordinary connection data such as the IP address and user agent.
Some providers may process data outside the European Economic Area. In such cases, transfers take place using safeguards provided by the GDPR, such as adequacy decisions or standard contractual clauses.
6. Retention periods
- account data is retained for the duration of the relationship and afterwards for as long as necessary to meet legal obligations or protect rights;
- sessions and essential cookies last for the periods stated in the Cookie Policy; the “Remember me” cookie lasts 30 days and the language preference lasts 365 days;
- verification and recovery tokens are retained until expiry or use;
- logs and security data are retained only for as long as strictly necessary to prevent and manage incidents;
- linguistic and audio contributions intended for the collective archive may be retained and, if the account is closed, anonymised where deletion would compromise the integrity of the work, licences already granted or third-party rights;
- optional “Calabria around the world” data remains linked to the account until it is changed, removed or the profile is closed; public maps show only aggregate data by country and municipality;
- user-level Analytics data is retained for up to 14 months; Analytics cookies for up to 12 months.
7. Profiles and public content
Information marked as public may be visible to other users and visitors. Users can change profile settings in their private area. Approved contributions may be published in the Atlas with the selected attribution and under applicable licences.
8. Minors
Independent registration is not intended for children under 14. Activities carried out through schools or other organisations must be organised with the authorisations and safeguards required for the age group and context, especially when audio recordings are involved.
9. Data-subject rights
The data subject may request access, rectification, erasure, restriction, portability and objection where provided by law, and may withdraw consent without affecting the lawfulness of prior processing. They may also lodge a complaint with the Italian Data Protection Authority.
Requests may be sent to info@ai.calabria.it. Identity verification may be requested to protect the account.
10. Automated decisions and updates
The platform does not make decisions with legal effects based solely on automated processing. Rankings and scores serve only participation and gamification purposes.
This notice may be updated following legal, organisational or technical changes. The date of the current version is shown at the beginning.
